Fabric Operations Data Agency ("Fabric," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our restaurant operations platform and SMS messaging service.

Information We Collect

Account information: When you register for Fabric, we collect your name, email address, phone number, restaurant name, and business details you provide during onboarding.

Restaurant operational data: With your authorization, we connect to your point-of-sale (POS) system, payroll system, and accounting software using read-only API access. We collect sales transaction data, menu item information, employee hourly rates and scheduling data, and financial summaries. We do not access or store payment card numbers, bank account numbers, or customer personal information from your POS system.

Invoice data: When you forward invoices to Fabric via email, SMS, or direct upload, we extract vendor information, line items, quantities, and pricing to calculate ingredient costs.

Inventory data: We collect inventory counts you provide through the dashboard, text message, or voice input.

SMS and communication data: We store the content of text messages sent between Fabric and your team to provide our service and improve our recommendations.

How We Use Your Information

We use the information we collect to:

• Calculate menu item costs, margins, and operational metrics for your restaurant
• Generate and send daily operational guidance, margin alerts, and inventory alerts via SMS
• Process and match invoice data to your ingredient and recipe records
• Track inventory levels and predict reorder needs
• Improve the accuracy of our extraction and recommendation systems
• Respond to your questions sent via text message
• Provide customer support

SMS Messaging

By providing your phone number during Fabric onboarding, you consent to receive operational text messages from Fabric. These messages include daily playbooks, margin alerts, inventory alerts, weekly rollups, and responses to your questions. Message frequency varies based on your notification preferences, typically 1-3 messages per day.

Message and data rates may apply. You can opt out of SMS messages at any time by replying STOP to any message. You can opt back in by replying START or by updating your preferences in the Fabric dashboard. For help, reply HELP to any message or contact us at support@fabric.so.

We do not sell, rent, or share your phone number or SMS content with third parties for their marketing purposes.

Data Sharing

We do not sell your data. We share information only in the following circumstances:

• Service providers: We use third-party services to operate our platform, including cloud hosting (Fly.io) and SMS delivery (Twilio). These providers access data only as needed to perform their services and are bound by contractual obligations to protect your data.
• Anonymized benchmarking: If you opt in, we may use anonymized, aggregated operational data to provide industry benchmarking and improve recommendations for similar restaurants. This data cannot be traced back to your business.
• Legal requirements: We may disclose information if required by law, regulation, or legal process.

Data Security

We implement industry-standard security measures to protect your data:

• All data is encrypted in transit using TLS and at rest using AES-256 encryption
• API credentials for your POS and other integrations are stored in an encrypted vault
• We use read-only API connections to your systems — Fabric never writes back to or modifies your POS, payroll, or accounting data
• Access to your data is restricted to authorized personnel

Data Retention

We retain your operational data for the period you select in your Fabric settings (default: indefinite). You can request a full data export or deletion at any time by contacting us. When you disconnect an integration or close your account, we delete the associated data within 30 days.

Your Rights

You have the right to:

• Access the data we hold about your restaurant
• Correct inaccurate data
• Request deletion of your data
• Disconnect any integration at any time
• Opt out of SMS messages by replying STOP
• Export your data

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and, where appropriate, via SMS or email.
